Sample Submission Policies

Sample Submission Policies

I. Confidentiality
The MiL, Inc. maintains strict confidentiality with its clients unless otherwise waived by written permission of the client. Confidentiality agreements are signed willingly. In turn, reports of analysis may not be duplicated without written permission of the MiL, Inc. All work is coordinated under the strictest internal security to assure complete confidentiality. A comprehensive body of Standard Operating Procedures covers the instrumental methods of the laboratories’ operations and conform to the manufacturer’s recommendations or improvements thereof demonstrably established by the MiL, Inc.

II. Financial Information
Terms are net 30 days payable upon receipt of report for approved clients (contact us); otherwise remit payment with samples. A surcharge is added for RUSH services. Pricing is designed for single samples. A minimum billing of $30.00 will be charged on all samples, including those canceled at the client’s request. A finance charge of 1.5% per month may be added to overdue balances. Coolers are returned by parcel post (3rd/4th Class) and shipping and handling charges invoiced (typically $9.50).

III. Sample Submission:
Include a completed copy of the appropriate Analysis Request form with your sample(s). All samples should be shipped with ice or preferably “blue ice” ice packs. Strains should be sent in a crush-proof container by an overnight carrier.

A. Soil and Water
For soil and wastewater or ground water, approximately 4 oz. of material in a clean, unhandled jar is sufficient. If nutrient chemistries are desired with submitted soil or water samples, at least 16 oz. of soil and 1.0 Liter of water is required. For potable (drinking) water samples, please request the form “Method for collecting drinking water samples for bacteriological analysis.” A minimum volume of 100 mL is required for drinking water. If Hydrocarbon Degradation Studies are desired (i.e. Endpoint Assay, Comparative Population Assay), please list the hydrocarbon substrate to be used in the space provided at the bottom of the Sample Name chart.

B. Food and Consumables
Food and food product samples vary widely and the method for shipping as well as holding times for each type differ accordingly. Please call us for instructions on how best to take, send and preserve your samples.

C. Microorganisms/Isolates
Strains should be shipped on agar Petri plates or slants and sealed with parafilm.

NOTE: If you are sending a suspected hazardous bioagent for testing, please follow these instructions –> BIOAGENT-INSTRUCTIONS

IV. Sample Retention and Disposal
Most samples are retained for a period of 3 days after completion of analyses or until payment of invoice as determined by the MiL’s discretion. Special PRIOR arrangements must be made to return or retain samples under other conditions. We readily destroy all strains upon payment and/or as requested by the client. Hazardous waste samples are returned to the client for disposal.

Disclaimer: The MiL, Inc. is not a human clinical diagnostic laboratory and makes no warranty to the fitness of our data for such purposes. Our databases do identify clinical organisms and we alert our clients to such organisms found in submitted samples for their information. Our databases are significantly larger in numbers of strains and species than typical of clinical data.
